How to Receive and Send Faxes from Windows 10 Computers

Windows computer

Before the arrival of 21st-century technology, many households and businesses depended on a typical fax machine and an allocated fax line to send and receive faxes.

But things have changed in recent years.

Thanks to the advances in technology that have made communications easier and more mobile. We have now discarded the olden days’ way of faxing and embraced the new and faster method.

So sending a fax is now made easy because you can now do that on your Windows 10 computer.

How to Receive and Send Faxes from Windows 10 Computers

You’ve got to only make some set-ups that permit you to fax from your computer. There are also other easier alternative ways you can fax from your computers, such as using free online fax services like those provided by Faxburner or using a fax machine or multifunction printer connected to a Windows 10 computer.

Now, let’s go over how you can fax using the already installed “fax and scan” program on your Windows 10 computer.

Send and Receive Fax With Windows 10’s “Fax and Scan”

As you probably know that Windows 10 contains an already installed “Fax and Scan” feature, making the computer function like a typical hardcopy fax machine.

What you Will Need

You will need to have the following to send or receive a fax from a Windows 10 Computer, using the Windows “Fax and Scan” program:

  • A computer with Windows 10 operating system
  • A land-line phone line – you should ensure you do not use a VoIP phone connection for the phone line to prevent scrambling your fax signal.

     Points to note:

  1. Only your phone will be able to use the internet connection, not your computer;
  2. Your computer must be switched on always and connected to the phone line to receive a fax while using the Windows “Fax and Scan” program
  • Fax modem or Fax Board on the computer – to be connected to the phone line.
  • A USB dongle to connect the fax modem to your computer.

How to Configure the Windows Fax and Scan

  • Go to the “Start” menu and type “Windows Fax and Scan”
  • Click on “Tools” then “Fax Accounts”
  • Choose “Add” to install your fax modem
  • Select either Automatic or Manual Answering of the phone line
  • Then go to “Tools” and “Fax Settings” for configuring send and receive options.

Configuring send and receive options includes changing the manual or automatic answer settings; changing the number of rings before automatic pick up; configuring Transmitting Subscriber Identification (TSID), and Called Subscriber Identification (CSID) information, and automatically saving or printing fax once it arrives.

Now that you have set up and configured the Windows Fax and Scan program, the next step is sending your fax.

How to Send a Fax in Windows Fax and Scan

  • Go to the “Start” menu
  • Choose “All Programs”
  • Choose “Windows Fax and Scan”
  • Select “New Fax” from the toolbar in the program. A new fax wizard will pop up if that is your first time to send a fax. You only need to set up the Windows Fax and Scan program.
  • After that, create your fax, and click “Send” to send it to the receiving fax machine.

How to Receive a Fax in Windows Fax and Scan

Receiving a fax in Windows Fax and Scan can be achieved in two separate ways. You can receive a fax automatically or manually from a Windows 10 Computer.

To Receive a Fax in Windows Fax and Scan Automatically

In order to automatically receive a fax from a Windows 10 Computer, you must first set up the fax service in Windows Fax and Scan.

Procedures to set up the fax service:

  • Go to the “Start” menu and type “Windows Fax and Scan”
  • Click on the “Windows Fax and Scan” and select “Fax” at the bottom of the left side corner
  • Choose “Tools” and then “Fax Settings”
  • Click on the “General” tab
  • Check the “Allow device to receive fax calls” box
  • Choose “Automatically answer after *** rings”, and set the number of rings your phone should ring before the fax service answers
  • Now select “Ok”

To Receive a Fax in Windows Fax and Scan Manually

In order to manually receive a fax from a Windows 10 Computer when the phone rings, you must also first set up the fax service in Windows Fax and Scan.

Procedures to set up the fax service:

  • Go through the same process for automatically receiving fax to activate the “Windows Fax and Scan” program
  • Click the Fax option at the bottom of the left side corner
  • Choose “Tools” and then select “Receive a Fax Now”

This set-up will allow your computer to receive the fax when your phone rings.

In Summary

Sending and receiving a fax on Windows 10 with the “Windows Fax and Scan” is much easier than using an actual fax machine or a multifunction scanner, fax, or copier.

Although the process can be a bit complicated compared to using an online fax service that makes use of a virtual fax machine accessed through the internet.

This is because an online fax service provides the opportunity to directly fax from the Internet without using an assigned phone line in your house.

In addition, as compared to fax software or a fax machine, online fax services offer the ability to access fax communications anytime and anywhere with an internet connection.
